Job Title: Administrative Associate

Position Type: Part-time, contract basis; beginning with a 20 hour per week commitment.

Job Summary: Vision Event Co is seeking an Administrative Associate to join the Visionary team and provide support for all event coordination activities. The Administrative Associate will be expected to excel in the management of long-term projects in addition to the Company’s day-to-day operations. A successful candidate will possess excellent communication skills, has a strong willingness to learn, and a passion for best in class customer service. The Administrative Associate will work hands-on with the Vision Team and vendors to help make the client's vision a reality. 

The Administrative Associate will be responsible for tasks including but not limited to:

  • Organize and lead client introductory calls

  • Initiate, organize, and participate in sales calls

  • Manage client proposal and contract processes

  • Coordinate scheduled and ad hoc follow up with clients throughout duration of contract

  • Manage and update client budgets 

  • Conduct research related to vendors and events

  • Acquire quotes from vendors

  • Liaise with vendors and clients in a professional manner

  • Maintain organized client project files

  • Back-end client care and coordination

  • Calendar management and scheduling for Vision events

  • Assist with post-event invoicing

  • Assist with expense tracking as needed

  • Social media management

  • General administrative tasks

  • Provide support and assistance to Vision event coordinators

 

The ideal candidate will exhibit the following qualities: 

  • Efficient and timely follow up on all tasks

  • Strong initiative to meet deadline and deliver excellent service to clients

  • Clear sense of prioritization and organization 

  • Resourceful, with the capacity for creative troubleshooting 

  • Professional and positive attitude when interfacing with vendors and clients

  • Ability to both work independently and as part of the Vision team

Experience: Previous work experience in hospitality, event planning, or wedding coordination preferred, not required. Proficiency in Microsoft Office - Word, Excel - and Google Suite required. 

Location and Hours:

  • Position will be remote 95% of the time with the opportunity for in person client and internal meetings .

  • Monday-Friday daytime availability between 9am-6pm is required. 

  • Flexible office hours between 9am-6pm.

Compensation: hourly (based on 20 hours per week), commensurate with experience
